PRIVACY POLICY

How we collect, use, and protect your personal and financial information.

Last updated: August 2026

Our commitment

Books Smart Inc. handles sensitive financial information every day, and we treat it accordingly. We comply with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario privacy legislation.

Information we collect

We collect personal information you provide directly to us, including:

  • Contact details such as your name, email address, and phone number
  • Business information needed to deliver bookkeeping and tax services
  • Financial records, receipts, and statements you share with us
  • Tax identifiers such as SIN or business numbers, where required for filing

When you use our website we also collect basic technical information such as pages visited, browser type, and approximate location, used only to understand how the site is performing.

How we use it

  • To provide the accounting, bookkeeping, tax, and advisory services you engage us for
  • To file returns and correspond with the Canada Revenue Agency on your behalf
  • To respond to enquiries submitted through this website
  • To meet our professional, legal, and regulatory record-keeping obligations

We do not sell your personal information, and we never have.

Disclosure

We disclose personal information only where you have consented, or where required to deliver our services or comply with the law — for example, filing with the CRA on your instruction, or using vetted software providers such as our accounting and payroll platforms. Where a service provider processes information on our behalf, they are bound to protect it under standards comparable to our own.

Retention and security

Financial and tax records are retained for the periods required by the Canada Revenue Agency — generally six years from the end of the relevant tax year — after which they are securely destroyed. We protect information using access controls, encryption in transit, and secure storage, and we limit access to staff who need it to do their work.

Your rights

You may request access to the personal information we hold about you, ask us to correct it if it is inaccurate, or withdraw consent for uses that are not required by law or by our professional obligations. Contact us using the details below and we will respond within 30 days.

Changes to this policy

We may update this policy from time to time. The date at the top of this page reflects the most recent revision.
